Operations Assistant

Position Summary

The Operations Assistant is expected to reside in the New York City area. The position will be full-time, non-exempt and will report directly to the Vice President, Operations. 

Responsibilities

The Operations Assistant supports the Vice President, Operations and Operations Manager in the operations department’s activities for multiple Broadway productions across North America. In addition, the Operations Assistant may assist with office administrative duties, as needed. Responsibilities include but are not limited to:

  • Assist in issuing deal memos and contracts for engagements, managing negotiation of red lines to operations documents with Producer and Presenter, and acquiring fully executed copies. 
  • Monitoring engagement confirmations with route information. 
  • Assist Operations Manager in managing sales reports including creating wraps templates, communicating with Presenters on Box Office set up and report requirements, and processing daily wraps. 
  • Maintain systems to monitor status of operations responsibilities; including but not limited to, creating and managing show status sheets and contact sheets.
  • Assist Operations Manager with city and tour snapshot documents.   
  • Distribute current tech riders, box office information and any additional riders/addendums to Presenters, as needed. 
  • Assist Vice President, Operations and Operations Manager in processing engagement offers, including but not limited to creating engagement Schedules, analyze price scale, discounts and expenses, and coordinate communication between Presenter, Marketing and Producer to confirm engagements. 
  • Identify opportunities for operations process improvements, and design and implement new systems in collaboration with Vice President, Operations and Operations Manager. 
  • Additionally, all team members are asked to assist the office on a variety of projects as assigned, including but not limited to general administrative office support, organizing digital files, order/stock/organize office supplies and kitchen, greeting guests, etc.

Qualifications

Ideally, candidates will possess:

  • Positive, solution-based communication style and comfortable demeanor with a range of individuals, including co-workers and industry colleagues.
  • Strong verbal and written communication skills, attention to detail, and good judgment
  • Ability to organize and manage multiple priorities in a fast-paced environment.
  • Strong analytical skills
  • A commitment to being curious and excited by the opportunity to learn new things.
  • 1-2 years applicable office experience or internships
  • Fluency in Microsoft Office (Word, Excel, Powerpoint, etc)
